This position will work a hybrid schedule which includes a combination of working both onsite at Greenwich Dr. and remote.
DESCRIPTION
Kick It California (KIC) is part of UC San Diego’s Moores Cancer Center and is funded by grants from the California Department of Public Health and Centers for Disease Control. KIC provides free services to help Californians quit using tobacco products. Established in 1992 as the California Smokers' Helpline, KIC was the first statewide, evidence-based, telephone-counseling service for smoking cessation in the U.S. Since then, KIC quit services have been expanded to multiple channels, including web, chat, text, mobile apps, and Alexa skills. KIC's primary audience is people in California who smoke, vape and use smokeless tobacco. Secondary audiences include: healthcare providers (doctors who directly refer patients to KIC); as well as health departments and community organizations that promote KIC services.
The Operations Manager will join a team of Operations, Communications, Clinical, and IT professionals responsible for maintaining and enhancing KIC services and products across all communications channels.
The Operations Manager will gather information and data from KIC subject matter experts, outside consultants, and market research to assist with setting organizational and service goals. Recommend changes to policies and procedures to make workflows more efficient and effective. Define and document organization/project objectives and determine how to use resources to meet schedules and goals. Manage staff and projects and assume responsibility for the quality of work produced. Represent the organization with funder and partner agencies, presenting at meetings, conferences, and to workgroups.
The Operations Manager will manage and enhance client referral to KIC from health care providers, plans, and partner organizations, such as 211 call centers. The Operations Manager will assess & document KIC’s referral landscape: create a strategic plan for KIC referral that outlines goals, tasks, staff resourcing, and timelines to complete contractual activities and deliverables; direct project staff to implement the strategic plan; manage data sharing agreements and contracts with referring organizations; identify and document referral trends, barriers, and opportunities and make recommendations for improvement across KIC outreach, communications, technical integration, and data reporting; review referral materials, presentations, and promotional collateral to make and manage change recommendations; provide regular reporting to KIC leadership, funders, and partner organizations.
MINIMUM QUALIFICATIONS
- Nine (9) years of related experience, education/training, OR a Bachelor’s degree in related area plus five (5) years of related experience/training.
- Advanced knowledge of common organizational- or research-specific and other computer application programs.
- Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing. Strong skills to negotiate with staff, stakeholders, and outside vendors to bring everyone in line with strategic goals and to overcome barriers.
- Advanced project management skills. Understanding of project management frameworks and methodologies and ability to apply best practices to create and implement project plans, including team management, time management, risk management, and budget management.
- Thorough knowledge of organizational or initiative processes, protocols and procedures.
- Advanced knowledge of applicable policy analysis techniques.
- Advanced analytical / problem-solving skills.
- Demonstrated experience developing and implementing comprehensive strategic plans.
- Strong management skills to select, train, evaluate, lead, direct, guide and motivate subordinate staff to produce high quality work; skill to take corrective action as required.
- Proven experience using data to inform strategic decision-making.
- Effective technical writing ability to clearly document project vision, goals, deliverables, timelines, progress, barriers, and outcomes.
- Ability to write and design presentations and reports.
- Active listening skills to engage and ask questions to gain a holistic understanding of organizations/projects.
